Terms & Conditions for non-package bookings
TOUR OPERATOR TERMS & CONDITIONS in respect of THE EVENTA ENTERTAINMENT GROUP LIMITED where a package has not been booked. By agreeing to these terms & conditions, you acknowledge and agree that the Package Travel Regulations 2018 (“the Regulations”) do not apply to your agreement with us or to the Arrangements and that we have no liability under the Regulations.
Definitions & interpretation
These Terms & Conditions of booking set out our obligations to you and your commitments to us when you book Arrangements with us, either online via our website, or via an Event Planner. These, together with the information contained in the Booking Confirmation, form the basis of our contract with you. It is important that you read through the Terms & Conditions before you book because they apply whether you have chosen to read them or not, and are applicable to all members of your group.
Where any booking is taken by The Stag Company, the trading name of The Eventa Entertainment Group Limited, then such booking (whether taken over the telephone or via the website) is taken merely as agent for and on behalf of The Eventa Entertainment Group Limited, a company registered in England & Wales (company number 04945685), whose registered office is 8th Floor Becket House, 36 Old Jewry, London, EC2R 8DD.
"We" "us" and "our" are references to The Eventa Entertainment Group Limited.
"You", "your" or "party" are references to the entity named on the booking form.
"In writing" means by facsimile, email or letter.
"Group Leader" means the person who makes the booking on behalf of the entity named on the Booking Confirmation and who will be our point of contact (and any substitute for this person).
"Arrangements" means the accommodation, meals, arrangements, facilities and services (or any of them), as applicable, booked through us in accordance with this agreement or any other agreement between you and us.
Arrangements
To book an activity, tour or event with The Eventa Entertainment Group Limited you must place a non-refundable deposit as specified by our website, or your Event Planner. By placing this deposit you confirm the accuracy of all information you have provided and accept these Terms & Conditions on behalf of yourself and all members of your group. Our agreement only comes into existence once your booking has been formally acknowledged in writing by us.
You must check all documents (including any tickets or vouchers) which we send to you and contact us at once if any information appearing on the booking confirmation or any other document appears to be inaccurate or incomplete.
Our itineraries are designed for you to achieve maximum enjoyment from your arrangements. The times provided must be adhered to at all times and failure to do so may result in your group being unable to participate in the Arrangements. We will not be held responsible should you fail to follow our advice or adhere to our planned timings.
Please note that on occasion, certain activities such as (for example only) bubble football will not confirm the venue until around 1 week prior to the Arrangements taking place and as a result, your itinerary may be sent without the location and will be updated with the relevant details nearer to the date of the Arrangements taking place.
Payments
The Group Leader is responsible for ensuring that all monies due for a booking are collected and paid on time by the members of the group and assumes all responsibility to settle the balance of the invoice for a confirmed booking before the final balance due date.
An initial deposit of £50 or any other agreed amount is payable on booking. Group members then have up to 14 days to place a £30 deposit to confirm their place on the booking unless specified in writing. The £30 deposit is non-transferable and non-refundable. After 14 days we will confirm your final group size and only group members who have paid a deposit will be able to use the online payment facility to make further payments unless specified in writing.
A request to add further group members after 14 days of booking must come from the Group Leader and must be made in writing via the Party Hub. The addition of group members is subject to availability and will incur an administration charge and payment in full for the Arrangements from the additional group member. Please be aware we will make every effort to accommodate such requests.
The final balance for the Arrangements must be settled 6 weeks prior to the Arrangements commencement date unless otherwise specified in writing. The Group Leader can elect to pay for the whole group at any stage prior to the final payment date.
Any booking made within 6 weeks of the Arrangements’ commencement date will require full payment at the time of booking, unless otherwise agreed by us.
No documents or tickets relevant to the booking will be dispatched until the booking has been fully paid.
In all circumstances, all deposits, part-payments, instalments, treatments, theatre or show tickets, administration charges and service fees are non-refundable and non-transferable.
We reserve the right to cancel your booking if full payment is not received by the due date and any payments already made against it will be deemed non-refundable.
Payments via our secure online payment system can be made by all major credit or debit cards, except American Express.
If we confirm that a refund is due for an aspect of your booking, we will endeavour to process this back to the original payment card, within 14 working days, wherever possible. If this is not possible we will inform you of the relevant time frame.Alternatively, we may ask for your bank details to enable us to process a singular “bulk” bank transfer.
Prices
The prices of the Arrangement(s) are as detailed in your Booking Confirmation.
We make every effort to ensure that prices are accurate, however please note that they may change as a result of our partners, or other relevant matters pertinent to your arrangements, which may be outside of our control. We will advise you in writing of any such increase in charges, which must be paid in full prior to the Arrangement commencement date.
Prior to booking, prices given on instant quotes, website packages, email communications and those mentioned verbally, are subject to availability and therefore subject to change at any time. You will be given the accurate, current price of your arrangements at the time you wish to book before your contract is confirmed. Where a price is incorrect due to a system error, we shall not be bound by such price.
Booking more than one activity or event may result in a discount price being applied to the total cost of the Arrangements. These discounts may only apply when paying for the whole itinerary. If any individual decides to partake in only certain aspects of the Arrangements they will not be able to take advantage of these discounts.
All prices are inclusive of Value Added Tax (VAT).
Changes instigated by you
All changes must be requested in writing by the Group Leader. We will make every effort to accommodate your changes but may not always be able to do so. Changes are subject to availability, “real time” pricing and the applicable administration charge, as laid out in clause XX below.
Cancellation instigated by you
Cancellation of a booking can only be considered if the request is made in writing by the Group Leader and the following cancellations charges will apply:
More than 42 days prior to arrangement commencement = Retention any monies paid
42 days or less to arrangement commencement = Retention any monies paid plus up to 50% of total monies owed
If any of your group members decide not to attend, are unable to attend, or require to depart early from the Arrangements for which they have paid, no refund will be payable.
Changes or cancellation instigated by us & "force majeure"
We reserve the right at any time to cancel or change any Arrangements made, and to substitute alternative arrangements without accepting liability. Should alternative arrangements be made at a reduced cost, the difference will be refunded to you. Should the alternative arrangements be at an increased cost, the increase must be met by the group, in order to retain the arrangements, as long as the replacement arrangements are deemed, by us, to be a “suitable alternative”.
We reserve the right to cancel any or all element(s) of your itinerary before commencement of the arrangements, due to “force majeure”, health concerns, or any other reason outside of our control that we, in our absolute discretion, may determine.
Force majeure events include (but are not limited to) war or threat of war, riot, civil strife or unrest, Acts of God, strikes, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, technical or maintenance problems with transport, changes imposed by rescheduling or cancellation of flight or rail transport by airline or rail operator, the alteration of flight paths, aircraft type or any other event that is beyond our reasonable control.
The weather
There is always the eventuality that you may be unable to take part in weather dependent activities due to poor weather. If this occurs, you will not be entitled to change or cancel your Arrangements without paying our normal charges. We will assist you to find alternative activities or Arrangements but please bear in mind that these may only be available at an additional charge to you.
Liability & insurance
Every effort is made by our partners to ensure your safety during the Arrangements. Some Arrangements include a certain element of risk and we accept no responsibility for any loss or injury incurred by the Group Leader or any group members taking part in such Arrangements.
It is your responsibility to make sure that you and your group have suitable insurance in place prior to travel, for any UK or abroad destination, We cannot be held responsible for any costs incurred as a result of failing to have suitable insurance in place.
Behaviour
During your Arrangements, you are expected to respect our partners, your environment and other people around you. Our partners reserve the right to terminate your Arrangements, without notice, under threat of vandalism, violence, abuse or any other behaviour deemed inappropriate by them. In such cases, you will not have any entitlement to a refund of any kind whatsoever.
We accept no liability for any accident, injury, damage or misadventure that occurs while any of your group is under the influence of alcohol or drugs.
Please note that some of our partners may, from time to time, require pre-authorisation of a behaviour 'bond'. We will do our utmost to give you prior notice where this may be imposed, but in rare cases this may not be possible.
Age restrictions & other limitations
Unless you advise us to the contrary we will assume that every member of your group is over 21 years of age. If this is not the case and some members of your party do not fall into this age category, please check with us that the itinerary you book can accommodate the younger members of your group. If this is not checked and you encounter problems during your weekend, we cannot be held responsible and will not provide a refund to anyone affected.
Some of our activities may not be suitable or possible for certain individuals for reasons of height; weight; pregnancy; disability; medical conditions; mental or physical health restrictions. We will do our best to provide information in this regard, however it is ultimately your responsibility to check with us if there are any of the aforementioned restrictions specific to the events you choose to book. Failure to do so may result in group members not being able to participate in certain events and we will not be held responsible and will not provide a refund to anyone affected.
Complaints
If you are dissatisfied with any aspect of your Arrangements, you must tell the relevant partner, activity provider, premises or venue staff immediately to give them a chance to offer a resolution. If you are still dissatisfied, you must inform us without delay, so that we can try to assist. Failure to to use the emergency contact numbers detailed on your itinerary, may affect any complaints submitted upon your return and we will not be held responsible for issues that were not brought to our attention as laid out as above.
If you wish to make a formal complaint about the Arrangements or the service you have received from us, please send your comments in writing within 7 days of your return home, via your Party Hub, or via email to aftercare@thestagcompany.com and be sure to quote your “S” booking reference. Please provide all other relevant information, keeping your account concise and to the point, in order to assist us to quickly identify your concerns and speed up our response to you. We will investigate the issues raised and endeavour to respond within 14 days of receipt and aim to resolve any issues raised in writing, within 28 days.
Should we be able to make an offer to resolve your complaint and you wish to accept, we must be told within 60 days of the offer being issued. After this timeframe, we cannot guarantee that the offer will still stand.
Any claims for compensation, for example the request to refund unexpected travel costs incurred, must be received within 90 days of the departure date for them to be considered.
If you do not comply with the complaints procedure, The Eventa Group Limited will not be held responsible for your complaint.
Data privacy
Information about you and members of your party, including your names, contact details and any special requests, disabilities, medical information or dietary requirements is collected by us when you request a quote, or make a booking with us. We will ensure that all such data is stored securely and in accordance with The Data Protection Act 2018 (the UK’s implementation of the General Data Protection Regulation - “GDPR”). We may disclose this information to our service partners (who may be located outside the UK/EEA) for the purpose of providing you with your arrangements. Only information necessary for this purpose will be disclosed to them.
Where email addresses have been provided for your group, we will send them transactional communications, such as payment reminders and receipts.
We will contact you in your role as Group Leader about the booking, with any necessary information, via email, phone and SMS. By booking with us in the role of Group Leader, you agree to your name and email address being shared with any group members that you choose to invite via the Party Hub, for the sole purpose of them being able to communicate with you about the booking, for which you assume responsibility.

Governing law
Both parties agree that any dispute, claim or other matter of any description (and whether involving personal injury or not) which arises out of or in connection with your booking must be brought in the Courts of England and Wales only (unless you are a resident of Scotland or Northern Ireland in which case any proceedings must be brought in either the Courts of your own country or those of England and Wales). Both parties also agree that English law (and no other) will apply to your contract (unless proceedings are brought in Scotland or Northern Ireland, in which case Scottish or Northern Irish law, as applicable, will apply instead). If this provision is not acceptable to you, you must tell us at the time of booking.
